The Send Email action allows you to include automated email notifications as a discrete step within a User Offboarding flow. This gives you flexibility to notify stakeholders — such as managers, IT teams, or the departing user — at any scheduled point in the offboarding process, independent of other actions.
The tasks in this procedure are performed at the MSP level.
At the customer level:
-
Accounts.UserFlows
-
Accounts.UserFlows.Read
-
Accounts.Users.Offboard
At the MSP level:
-
Msp.UserFlows
-
Msp.UserFlows.Create
-
Msp.UserFlows.Update
-
Msp.UserFlows.Page
-
Msp.UserFlows.Read
The following Nerdio Manager roles allow you to configure User Flow actions:
-
MSP Admins can create and edit User Flow templates, including adding Send Email actions.
Following the Principle of Least Privilege (PoLP), you can define one or more Nerdio Manager custom role(s) to manage User Flows.
-
In Nerdio Manager for MSP, navigate to Shared Settings > Microsoft 365 > User Flows.
-
Open an existing offboarding template by clicking its name, or create a new one.
-
In the Actions section, select the Execution Time (Before, During, or After) at which you want the email to be sent.
-
Click Add Action.
-
From the Available Actions dropdown, select Send Email, then click Add.
-
Configure the action options (see below), then click Create or Save.
Once the Send Email action has been added, configure the following options in the Action Options panel:
|
Option |
Description |
|---|---|
|
Subject |
The subject line of the email. Supports dynamic variables (e.g., user display name, offboarding date). |
|
Body |
The email body. You can use a custom email template or compose freeform content. |
|
Recipients |
One or more email addresses to receive the notification. See recipient options below. |
The Send Email action supports the following recipient types:
-
Static address — Enter a fixed email address (e.g., an IT distribution list).
-
User’s manager — Automatically resolves the offboarded user’s manager from Entra ID and sends the email to them.
-
Custom field — Specify a user attribute from Entra ID to use as the recipient address.
Note
Note: Multiple recipient types can be combined within a single Send Email action.
