Manage Initiated User Flows

This article explains how to view, monitor, and cancel User Flows that have been initiated for users in your managed environments.

The tasks in this procedure are performed at the MSP level.


Prerequisites

Role-based access control (RBAC) and permissions

At the customer level:

  • Accounts.UserFlows
  • Accounts.UserFlows.Read
  • Accounts.Users.Offboard

At the MSP level:

  • Msp.UserFlows
  • Msp.UserFlows.Read
  • Msp.UserFlows.Page

Nerdio Manager roles

The following Nerdio Manager roles allow you to view and manage initiated User Flows:

  • MSP Admins can view all initiated flows and cancel pending flows.
  • Help Desk Users can view initiated flows for users in their assigned environments.

Nerdio Manager access levels

Following the Principle of Least Privilege (PoLP), you can define one or more Nerdio Manager custom role(s) to manage initiated User Flows.


View initiated User Flows

Once a User Flow has been triggered for a user, you can monitor its status from the User Flows management screen.

  1. In Nerdio Manager for MSP, navigate to Shared Settings in the left-hand menu.
  2. Under the Microsoft 365 sub-menu, select User Flows.
  3. Select the Initiated Flows tab to see a list of all flows that have been triggered across your managed accounts.
  4. Each row displays the flow name, target user, assigned account, current status, and scheduled execution times.

Flow statuses

Status Description
Pending The flow has been triggered but the scheduled action time has not yet been reached.
In Progress One or more actions in the flow are currently executing.
Completed All actions in the flow have executed successfully.
Failed One or more actions encountered an error during execution.
Cancelled The flow was manually cancelled before completion.

Use the Global View for initiated flows

The Global View allows MSP Admins to see initiated flows across all managed customer accounts in a single consolidated view, rather than navigating to each account individually.

  1. From the Initiated Flows tab, locate the Global View toggle at the top of the screen.
  2. Enable Global View to display initiated flows from all customer accounts.
  3. Use the Account filter to narrow results to one or more specific customers as needed.

Cancel a pending User Flow

Pending flows can be cancelled at any time before their scheduled execution begins. Flows that are already In Progress cannot be cancelled.

  1. Navigate to Shared Settings > Microsoft 365 > User Flows > Initiated Flows.
  2. Locate the flow you want to cancel. Use the search bar or account filter to find it quickly.
  3. Click the ellipsis (...) menu on the right side of the flow row.
  4. Select Cancel Flow.
  5. Confirm the cancellation when prompted. The flow status will update to Cancelled.

Note: Cancelling a flow does not reverse any actions that have already been completed as part of that flow. Only pending (not-yet-executed) actions will be prevented from running.
